Location: Remote (Romania-based, with occasional travel to ONRC, IGI, and other offices)

We are now seeking a highly organized and proactive Administrative Assistant to support our company setup activities and work permit processes.

Role Overview:

The Administrative Assistant will be responsible for handling company registration tasks, preparing legal and administrative documents, assisting with SRL (Societate cu Raspundere Limitata) formation, submitting applications to the ONRC (Romanian Trade Register Office) and IGI (General Inspectorate for Immigration), and managing notarizations and translations.

Job Specification

Key Responsibilities:

Manage the process of setting up an SRL, including document preparation and submission to the ONRC.

Act as the company’s representative for submissions to ONRC and IGI.

Prepare and organize required documentation for company registration and immigration processes.

Handle standard work permit and EU Blue Card applications from start to finish.

Coordinate notarization of documents and certified translations.

Maintain accurate records of all filings, communications, and approvals.

Liaise with Romanian authorities, notaries, translators, and other third-party service providers.

Keep updated on relevant legal and procedural changes.

Perform occasional in-person visits to the registered office, ONRC, IGI, notaries, and translation offices as needed.

Requirements:

Fluency in English and Romanian (written and spoken) is essential.

Previous experience with ONRC registrations, SRL formation, and immigration procedures highly preferred.

Strong organizational skills and attention to detail.

Ability to work independently and manage multiple tasks efficiently.

Proficient with Microsoft Office (Word, Excel, Outlook).

Flexibility to travel locally as needed for submissions and document handling.
